This reference is for existing signed pilot agreements or a pilot expressly approved by Harbor in writing. It is not the standard offer for new practices. Your own signed version controls its duration, conversion conditions, and rate protection. Publishing updated general terms does not rewrite it.

These Founding Pilot Terms (the "Pilot Terms") are an agreement between [practice legal name], a mental-health practice located in [state] (the "Pilot Practice", "you"), and Harbor Office, Inc., a Delaware corporation with its principal office at 4506 Laverne Ave, Klamath Falls, OR 97603 ("Harbor", "we", "us").
These Pilot Terms supplement the Terms of Service, the Privacy Policy, and the Business Associate Agreement, all of which apply in full during the pilot.
As a Founding practice, you receive Harbor free of charge for thirty (30) days from signup. This includes the Harbor platform as offered at your signup tier — AI receptionist, scheduling, intake, and practice tools — plus white-glove setup. A payment method is collected at signup; it is not charged during the 30-day founding trial, and if you cancel during the trial you are never charged at all.
Your feedback is the point of the pilot. You agree to make a reasonable effort to join a brief (~10-minute) feedback call every other week, and to tell us when something is broken, confusing, or missing. If Harbor earns it, we may ask for a testimonial — always optional, and never published without your approval.
When your 30-day founding trial ends, your subscription begins at the ordinary Solo price of $99/mo — the standard price for a one-clinician practice — using the payment method you added at signup. The exact date of your first charge is shown at checkout and in your billing portal. Cancel any time before that date, in one click from the billing portal, and you are never charged.
As a Founding practice, the rate is locked for you: if Harbor raises the Solo price later, your practice keeps $99/mo for as long as your subscription stays continuously active. That is what the lock protects you from. It is not a discount, and $99/mo is not a promotional rate that expires.
After the trial you can cancel at any time with no fee and no questions asked, effective at the end of the paid period, and every charge is receipted by email. The Solo price covers the features included in Harbor at the time you continue; new product lines and usage-based components may be billed separately, per the Terms of Service.
Either you or Harbor may end the pilot at any time, for any reason, with written notice (email is fine). If the pilot ends, we will provide export of your practice data and handle Protected Health Information per the return-and-destruction provisions of the Business Associate Agreement.
A trial does not mean less protected. The Business Associate Agreement, Privacy Policy, and Terms of Service apply in full from day one, including all HIPAA safeguards, encryption, audit logging, and breach-notification obligations.
These Pilot Terms supplement (and where they conflict about pricing during the pilot period, supersede) the Terms of Service. Pilot seats are limited and offered at Harbor's discretion. Questions: chance@harboroffice.ai.
You may sign this agreement on paper instead. If you would rather have a printed copy to sign by hand, ask for one and we will send it, at no cost to you. Email chance@harboroffice.ai, or use the "Request a paper copy" link on the signing page. Asking for paper does not change the offer above and does not cost you your pilot seat.
If you choose to sign electronically, you are agreeing to two things:
You can withdraw that consent at any time by emailing chance@harboroffice.ai. Withdrawing applies to records sent to you after you withdraw. It does not undo a signature you have already given. You can ask for a paper copy of anything you signed at any time, at no cost, whether or not you withdraw.
To read and keep an electronic copy you need a device with a current web browser, an email address you can receive mail at, and a way to open and save a PDF. Tell us at chance@harboroffice.ai if your email address changes, so we can keep sending you your records.
When you sign, Harbor records: the full legal name you typed, your title, the email address of the account you signed from, the date and time (set by Harbor's servers, not by your device), the network address the request came from, the browser you used, the version identifier of this document, a SHA-256 fingerprint of the exact text set out above, and a complete copy of that text as it was shown to you.
That record is written once and cannot afterwards be edited or deleted. Harbor emails you an executed PDF and keeps a copy available to you for as long as the agreement is in effect. If anyone later asks what you agreed to, the answer is the stored text, and the fingerprint proves it has not changed.
By typing my full legal name below, I am signing these Founding Pilot Terms. I intend my typed name to be my signature, and I intend it to have the same effect as signing on paper. I have read the terms above, and I am authorized to sign this agreement on behalf of the Pilot Practice named in it.
This page is the reference copy. The signing copy names the practice and its state, and is presented for signature at the signing page once you are signed in. You can ask for a paper copy to sign by hand instead.
